1. Who We Are
Green Citation is a trading name of Faye Armitage-Jones, operating as a sole trader in the United Kingdom, and operates the website https://greencitation.co.uk. We are a B2B SaaS platform providing self-serve sustainability data extraction services for UK businesses.
2. Information We Collect and Why
Account Information
Green Citation does not require account registration. To use the free trial or a paid plan, we collect your email address, which we use to identify your account, apply your subscription or trial status, and enforce usage limits. If you subscribe to a paid plan, payment details are collected and processed directly by Stripe — we do not store your card information.
We do not collect or store your name or company name.
Uploaded Documents (processed, not retained)
To calculate your Scope 1, 2, and Scope 3 Light emissions, you upload utility bills, fuel invoices, or service logs. These are read into memory only for as long as it takes to extract the relevant figures, then permanently deleted. We do not store, retain, or keep a copy of any document you upload, and nothing from your documents is used to train any model.
Account Usage Data
Separately from your documents, we retain a small amount of account-level information needed to run your subscription and enforce plan limits: your email address, your subscription or trial status, and a count of documents processed under your free trial or any extended trial allowance. This is account-level usage data only — it never includes any document content or any extracted emissions data.
3. How We Handle Your Data (Zero-Retention Policy)
The only information we keep is the basic account details needed to run your subscription, your name, company name, email address, and subscription status. We also store a random, anonymous identifier in your browser to recognise your account between visits, this does not personally identify you on its own.
4. Cookies and Tracking
We use essential cookies and browser storage to keep your session working correctly and to allow Stripe to securely process your subscription payments. We do not use third-party advertising or tracking cookies.
5. Data Sharing
We never sell your data. We only share data with trusted third-party providers necessary to run our service:
Stripe — payment processing is handled by Stripe Payments UK Ltd. Card details and billing information are transferred to Stripe, Inc. in the United States under Stripe’s Standard Contractual Clauses. Green Citation never sees or stores your card details directly.
Anthropic — our in-app support chatbot uses Anthropic’s Claude model. When you send a message to the chatbot, your message content is transferred to Anthropic, Inc. (United States) for processing under Standard Contractual Clauses. Anthropic may retain this data for up to 30 days for abuse monitoring. Please do not enter personal or commercially sensitive information into the chatbot.
Hosting —Emergent Labs and MongoDB Atlas — our application runs on Emergent Labs’ hosting platform, with data stored in a managed MongoDB Atlas database cluster. Because these infrastructure partners operate globally, personal data we collect may be transferred to, stored in, and processed in locations outside the United Kingdom, including the United States. Any such transfers are protected by appropriate safeguards, including Standard Contractual Clauses or the UK International Data Transfer Addendum.
Security — account data is encrypted both in transit and at rest. Your uploaded documents and the figures extracted from them are never stored at all, so there is nothing held “at rest” to encrypt in the first place, they are deleted the moment your report is delivered.
6. Your Rights Under UK GDPR
Under UK data protection law, you have the right to access the personal account data we hold about you, request corrections, or ask us to delete your account information at any time.
